--This job description reflects assignment of essential
functions.-- It does not prescribe or restrict the tasks that may
be assigned.--The person in this position must be able to work at
Mizkan America's North American headquarters located in Mt.
Prospect, IL daily. --Flexibility to work remotely for some portion
of each day will be available once established in the position.
Must be able to be onsite full days on Wednesdays and Thursdays.
Great entry-level position for someone looking to start their
career in HR!-- The HR Clerk provides administrative support to the
HR Talent team which may include administration of on-line
compliance training, assisting with recruiting and onboarding
activities, and processing invoices and P.O.'s for the HR
department. The HR Clerk will also act as the building Receptionist
for Mizkan America, Inc's U.S. headquarters. Receptionist
responsibilities include greeting visitors, providing and
maintaining building access badges for both employees and visitors,
answering & directing phone calls, maintaining an efficient and
attractive front office environment, sorting the mail, and helping
to ship and receive packages. --This position may also be
responsible for helping with tasks within the facility such as
ensuring the kitchens and office supplies are stocked and in
working order and working with building management, IT, and vendors
to ensure issues are resolved such as equipment failures,
temperature concerns, etc. Additional opportunities exist to get
involved in various HR projects as interests and skills are
demonstrated.-- Must be available to work from 8am to 5pm each day,
with a one-hour lunch break. ESSENTIAL DUTIES AND
RESPONSIBILITIES:----HR ClerkMaintain enrollment data and send
weekly completion reports for compliance training related to HRSend
first-day Orientation follow up e-mails to new employees to assist
with the onboarding processAnswer employee questionsMay be involved
in processing I-9 forms for new employees and teaching new hire
OrientationAssist with travel itineraries and arrangements for new
employeesCreate and manage all invoices and P.O.s for HR including
being the super user for our pay to procure systemAssist in
scheduling interviews, meetings and set up of conference rooms as
neededWork on special projects as assigned--to assist the HR Team
as needed-- ReceptionistAnswers and screens phone calls, and
transfers to the appropriate staff member--Greets visitors and
directs them to correct staff member--Filters/distributes all
incoming and outgoing mail----Manages all incoming and outgoing
packages (UPS/FedEx)--Creates shipping labels for outgoing packages
- codes all UPS/FedEx invoices under correct
department----Maintains office and kitchen supplies by checking
stock to determine inventory levels, anticipate requirements, place
and expedite orders, verify receipts, and stock items--Works with
other administrative staff to coordinate Reception desk coverage as
neededAssists HR office personnel with facility and equipment
malfunctions. Coordinates outside repair services as
needed--Maintains professional, presentable front office area and
ensures kitchen and mailroom area are clean, organized, and fully
stockedManages "The Receptionist" digital sign in systemEDUCATION,
EXPERIENCE, AND QUALIFICATIONS:----Minimum of two years of related
receptionist/administrative experience--Recent graduate with degree
in HR, business, or related field preferred but could still be
working to complete your degreeMust be reliable, self-motivated,
and well organized--Strong learning agilityStrong written and
verbal communication skills are essential--in order to communicate
clearly with all levels of the organization as well as vendors and
suppliersExcellent customer service and interpersonal skillsAbility
to multi-task and work effectively while experiencing
interruptions/distractions--Ability to maintain confidentiality is
required--Intermediate skills required in Microsoft Office with an
emphasis on Outlook, Word, Excel, and Teams. Ability to learn how
to use common office equipment (e.g., copier/scanner, postage
machine, etc.)
